We have put together a few different email templates that you can send to your partners

Since tex.tracer is new to your partners and they might not fully understand why we are asking them particular information in the platform. We always suggest reaching out with an explanation to help build the relationship further and to introduce tex.tracer in the right way. We have a dedicated article on Introducing tex.tracer to your partners. Below you will find a few instances where you might need to reach out to a partner after this and a helpful template to use:

Your CP is not yet onboarded

Your contractual partners are where you will get information on the entire supply chain so it is vital that they have been onboarded and invite their partners as well. If you are unsure what role a partner plays in your supply chain, you can read more on our article dedicated to inviting partners.

Hi XXX,

I noticed that you still have not created your tex.tracer account. It is important to create your account because we need more information on our supply chain. This is very important due to upcoming legislation in the EU and our mission to be more transparent.

You should have received an invite link, but if you do not have that anymore, I have included that here:

If you have questions about tex.tracer, you can read more here. They are also available to help with an onboarding meeting. I have cc’ed XXX (partner liaison responsible) in this email who works for tex.tracer. They would be happy to help you get started.

Please note, we can send you the invite link for your partner so just inquire with your Client Success contact to receive this.

Your CP has not completed their account details (photos, certificates, ESG data, etc.)

Account details such as company photos, certificates, compliance documents, and ESG self survey are essential requirements for the upcoming legislation. We do send reminders to upload certificates and you are able to remind partners to fill in ESG data in the platform. However, it could be the case that a personalized email is needed.

Hi XXX,

I’ve noticed that your tex.tracer account is still incomplete. It’s important to finalize your profile before the end of this month to ensure full visibility on the platform and upcoming Digital Product Passport (DPP) requirements.

Here’s a quick checklist:

  • Company profile text – Write a short intro about your company (you can use your website or LinkedIn as inspiration). To edit: Go to the My Account page → Company Details tab → scroll to the Profile Text section → edit and save.

  • Company photos – Add pictures of your facility, team, or production (use mobile phone to upload pictures). Refer to this article for guidance.

  • Certificates (examples of these certificates are: BSCI, SEDEX, Better Cotton, GOTS, OCS) – Upload valid certificates and audit reports. You can follow this article for help.

  • ESG questionnaire (Social Data questions & Environmental Data questions) – Fill in the required environmental and social data. Refer to this article for guidance.

Your CP has not created orderlines yet

A contractual partner needs to create orderlines in order to have supply chain transparency and for all partners that they work with to be invited to the platform. We do send a reminder to your CP to create the orderlines but sometimes our reminders are not enough and, as their customer, you might need to step in.

Hi XXX,

I’ve noticed that you still have not completed the supply chain for the orders assigned to you in tex.tracer. Do you have any questions?

OPTIONAL: We need these orderlines completed by XXX.

Supply chain partners have not yet been onboarded

For full transparency and to have complete orderlies, it is important to have all partners onboarded. This includes your partners from tiers 2-4. We do remind anyone who is invited to tex.tracer to create their account but it might be needed to give an extra push. In most cases, you will not have a direct relationship with your supply chain partners in tiers 2-4 so you will need to reach out to the CP that the SCP is linked to.

Hi XXX,

First of all, thank you for completing your orderlines in tex.tracer. I appreciate your compliance.

Regarding tex.tracer, I saw that many of your supply chain partners are not onboarded yet. We aim to have not only our Tier 1 suppliers, but also the Tier 2-4 suppliers onboarded in tex.tracer. This is due to the upcoming regulations in the EU, and more specifically, the digital product passport (DPP). The DPP will become obligatory for products sold within the EU probably in 2027, and we expect that the DPP will require transparency information, among other aspects.

Can you assist me in having the following partners create their account?
