Manage requested documents

Manage and review the requested documents in the Compliance page.

The Compliance page includes a tab called Requested documents. This tab gives you a clear overview of all document requests, so you can follow up on pending requests, review uploaded documents, and manage approved or rejected documents in one place.

Requested documents overview

In the Requested documents tab, the requests are grouped by status. This makes it easier to see which documents still need to be uploaded, which documents are ready for review, and which documents have already been approved or rejected.

The overview includes the following sections:

  • Pending document request(s)

  • Uploaded document(s)

  • Rejected document(s)

  • Approved document(s)

Pending document request(s)

This section shows document requests for which the partner has not uploaded a document yet. From this section, you can follow up on outstanding requests and manage requests that are no longer needed.

You can also send reminders for pending requests; when you select the specific order(s), you will see a pop-up with Delete and Send reminder.

After sending the reminder, the date in the Last reminder sent column will be updated.

When a pending request is deleted, the partner will no longer be requested to upload that document for the selected orderline or orderlines.

Uploaded document(s)

The Uploaded document(s) section shows documents that have been uploaded by a partner and are waiting for your review. From this section, you can open the uploaded document, check the provided information, and either approve or reject the document.

Click Review to open the review modal. A pop-up opens with a preview of the uploaded document; on the left side, you can view the document that was uploaded by the partner and on the right side, you will see the document details.

Rejected document(s)

If the uploaded document is incorrect or incomplete, click Reject. You will be asked to add a rejection reason. This note is mandatory, because it will be shared with the partner so they know what needs to be corrected. After rejecting the document, the partner is notified and requested to upload a new version.

Rejected documents automatically move to the Rejected document(s) section.

The Rejected document(s) remain visible so you can keep track of what was rejected and why. The partner will be asked to upload a corrected document.

Once a new document is uploaded, it will become available for review again.

Approved document(s)

If the uploaded document is correct, click Approve. A confirmation pop-up will appear. After confirming, the document is approved and automatically moved to the Approved document(s) section. A success message will confirm that the document has been approved.

The Approved document(s) section shows documents that have been reviewed and approved. Approved documents can still be viewed, downloaded or archived when needed.

Archiving document(s)

Uploaded, rejected and approved document requests can be archived. When a request is archived, the request and its details are moved to the Archive tab. This helps keep the active overview clean while still keeping the information available for reference.
